Registering a Store

1. From the Home Page click the Register Store button.

2. Complete the registration form and click the Register button. 

  • Use alphanumeric information. 
  • Enter a valid email address (all communication will be sent via email
  • Register yourself as well as another individual (optional) to manage your company’s online training system.

3. Click the Close button.

  • A username, password and store code will be emailed to you within 24 hours (Monday – Friday).
  • Keep store codes confidential.

Registering a Student

1. From the Home Page click the Register Student button.

 

Note: Accounts are set up for English registration. Accounts for other languages can be set up upon request.

2. Complete the registration form and click the Complete Registration button. 

  • Use alphanumeric information.
  • Usernames must be unique to the online training system.
  • Passwords can be any number or type of characters.
  • Keep store codes confidential.
  • Keep records of students’ usernames and passwords; they are frequently forgetten.

3. Verify the student registration is for the correct store.  image012 
   

4. The system sends an email to the student containing their username and password.

Enrolling in a Certification Course

1. From the Home Page click the Log On to Online Training button.  image016 
   
2. Type in your username and password.  image018 
   

3. Select All Courses, then click the Submit button 

NoteLinks to both the All and Enrolled Course list are available at all times.

4. Once on the All Courses page, click the Enroll button located next to the course you would like to enroll in. .

 

Note: If you are already enrolled in a course or if a course is a curriculum, the word Start displays instead of Enroll.

When you click the Enroll button, the course will automatically display in a new window. Navigate through the course using the links in the left panel or the Forward arrow.

Note: Most courses have between 2 and 5 post-tests. To obtain certification you need to pass all the post-tests with a score of 80% or higher. You may take each post-test as many times as necessary.

Dropping an Enrolled Course

1. Log onto the online training system, then click the Submit button.

 

Note: Enrolled Courses is the default selection. Because you want to access the enrolled courses, you only have to click the Submit button.     .

2. Once on the Enrolled Courses page, click the Drop button located next to the course you would like to drop.   

 

Note: You can always re-enroll in any course.

3. Click OK in the Drop Confirmation window.  image030 
   

4. Click Return to go back to the Enrolled Courses page.

Viewing Your Gradebook for Test Scores

1. Log on to the online training system , then click the Submit button.   

 

Note: You can access your gradebook from both the Enrolled Courses and All Courses pages.

When you click the Grades link, the gradebook will display. The courses you have completed are listed first, followed by those you still need to complete. You can also see the start and finish date of each course.   

 

NoteTo print your gradebook click the Print button at the bottom of the screen.

3. To view your post-test scores, click the Details link next to the course name.  image039 
   

 
When you click Details,a window displays listing each post-test name, score, status and date. The test information is in chronological order (most recently taken test first)

Viewing Your Gradebook for Certificates

1. Log onto the online training system, then click the Submit button.

 

Note: You can access your gradebook from both the Enrolled Courses and All Courses pages.

3. To view your certificate, click the Certificate icon next to the course name.  image044 
   

When you click the Certificate icon the certificate displays. You can print a copy of the certificate by clicking on File and selecting Print.

Note: For the certificate to print correctly, the left and right margins must be set to 0.5 inches.  

Note: You can also save your certificate as an electronic file (.doc, .txt, .html).

Types of Training Reports

This section describes the available reports, what information each contains and an example of the report output.

 

1. 1-Click Report  

The 1-Click Report tracks course enrollments, completions and drops within your organization. It shows all course enrollments for the past 12 months. This report is available only as an Excel spreadsheet.

2. ENROLLMENT Report   

The Enrollment Report tracks course enrollments, completions and drops within your organization. It is different from the 1-Click Report, because it allows you to define a specific time period, student, course or store. For example, you can specify the first quarter (January 1 – March 31) as the time period for the report.

3. Store Information Report 

The Store Information Report shows information about your organization’s hierarchy (headquarters, stores and positions).

4. STUDENTS Report  

The Students Report tracks the information for all the students within your organization. It shows their store assignment, position, name, username, email, language preference, status and the date they were assigned to their position.

5. Student Test Details Report  

The Student Test Details Report tracks the results of all post-tests. It displays the highest scored post-test for each course a student has taken. A course listed multiple times indicates that the student has taken the course more than once

Running a 1-Click Report

1. Log on to the online training system, then access the All or Enrolled Courses pages. Click on Tools   image058 
   

2. In the TKM Tools window, click the Download Report link located next to the 1-Click report.

3. Click the Open button. The report displays in an Excel spreadsheet.

Note: You can also click the Save button to save the data and review at a later date.

About Running Reports

When you run a report, the system walks you through a series of steps to complete the report’s parameters. The steps for each report may be slightly different, although most reports require specific criteria. This may include. 

  • Defining the group (organization, store or position) 
  • Defining the information to display 
  • Defining the order of information 
  • Filtering information so as to omit unnecessary data 
  • Sorting information based on a specific report column 

Running Reports

1. Log on to the online training system , then access the All or Enrolled Courses pages. Click on Tools   image063 
   

2. In the TKM Tools window, click the View Report link located next to the report you would like to run.  

Note: Your access rights determine what reports will display.

The first page of all reports is the Introduction page, which describes the report you have selected. To continue, click the Next Step link..

3. First, define the group for the report. Type in the business unit (store name) or the store code. Then click Next Step. 

Note: "Business unit" refers to the name of your organization.

4. Based on your selection on the previous page, a list will display. Click the radio button next to the store, organization or position for the report, then click Next Step.   

Note: You can only select one item.

Now define the information you would like to see in the report. You can add, remove and change the order of the fields.  

 

Note: Changes to settings are not permanent; the next time you run the report, it will default to its original settings. .

Lastly, filter and sort the data.

 

6. Choose your report format (Excel or Webpage) by clicking the corresponding radio button.  

7. Narrow your report’s data be typing in filtering criteria. For example, you can view the enrollments of one specific course. .

8. You can sort the data using the drop down list in the Sort By field. This list contains the report’s column headings 

 

Note:To see all the data, leave the filter criteria blank 

Note: Filtering fields varies by report.

When you click the Next Step link, the system runs the report. Reports with a large amount of data may take time to load.  

If the report format is Webpage,the report automatically displays

If the report format is Excel, wait for the screen to display the following banner at the top of the page.

1. Click on the banner and select Download File from the drop down list.

2. In the File Download window click Open.

Excel automatically opens and the report displays.

Retrieving a Forgotten Password

In the logon window, type your username and click Forgot Password.

NoteThe system will send an automated email with the password, to the email address provided during registration. 

Note: Your online training administrator registered you in the system. If the email provided during registration is a store account, then you must see your administrator to retrieve your password. .
 

Note: If you forget your username your online training administrator can find it by running the STUDENTS report or using the User Details wizard.

Retrieving a Forgotten Username

1. Log on to the online training system and access the All or Enrolled Courses pages. Click on Tools.  image084 
   

2. In the TKM Tools window, click the Run Wizard link located next to User Details.

Note: Your access rights determine what wizards will display.

The first page of all wizards is the Introduction page, which describes when to use the wizard. To continue, click the Next Step link.

3. Type in the student’s last name then click Next Step.

Note: The Employee Number field is not applicable because the system does not contain employee numbers.

4. Click the radio button next to the person you want to update then click Next Step.   image092 
   

5. The username will appear on this screen.

Note: You can also reset the password if necessary. Type the new password in the New Password and Confirm New Password fields.

When you click the Next Step you will advance through three more pages that contain student information. These are:

  1. Contact information
  2. Personal details
  3. User remarks

To move through the pages, click Next Step. You will then see the page below. Click Next Step on this page to save the data and exit the wizard.

Note: If you make changes to user information, click through all the screens until you reach the last one in order to save all changes.
